Draft for legal review23 August 2026

This draft explains how information may be handled when someone visits the EvalTrack website or contacts EvalTrack about an institutional demonstration.

Status and scope

This Privacy Policy is a draft for legal review. It must be reviewed against the final hosting, email, analytics, contact, and institutional service arrangements before production use.

This draft applies to the public EvalTrack marketing website. It does not describe how an institution’s examination data would be handled inside the EvalTrack product; those arrangements require separate institutional terms and privacy documentation.

Information the website may receive

Information you choose to provide

When you submit a demo request, EvalTrack may receive your name, institutional role, contact details, message, and other information you choose to provide. If you use a configured privacy link, your email application may open so that you can choose what to send.

Technical request information

When the website is hosted, the hosting service may process standard technical request information needed to deliver and protect the site, such as an IP address, browser or device information, requested pages, timestamps, and diagnostic records. The final provider, exact fields, and retention settings have not been established in this source and must be confirmed before production use.

How information may be used

Information received through the website may be used to:

  • respond to demo, product, privacy, or other institutional enquiries;
  • understand an institution’s examination-workflow requirements;
  • operate, maintain, diagnose, and protect the website;
  • maintain appropriate records of communications; and
  • meet legal obligations that apply to EvalTrack.

EvalTrack should not use contact information for unrelated purposes without an appropriate basis.

Cookies and analytics

The current website source does not include analytics, advertising trackers, a third-party form processor, or code that sets non-essential cookies. If any of these services are added, this policy and any required consent controls must be updated before they are enabled.

Sharing and service providers

This draft does not name data processors because no production hosting, analytics, form, or marketing provider has been verified in the website source. Information may need to be processed by providers that operate the final hosting or email services, but those providers and their terms must be confirmed and documented before production use.

EvalTrack may also disclose information when required by law, to protect legitimate rights and safety, or as part of a properly documented business transaction. This draft does not authorize the sale of personal information.

Retention

Contact and demo-request information should be kept only as long as reasonably needed to respond, manage the institutional relationship, maintain appropriate business records, resolve disputes, or meet legal obligations. A final retention schedule must be established during legal and operational review.

Security principles

EvalTrack intends to use reasonable organizational and technical safeguards appropriate to the website and the information it receives. No method of transmission or storage can be guaranteed completely secure. This statement is not a certification or compliance claim.

Questions and requests

Depending on the law that applies, you may be able to ask about, correct, or request deletion of personal information held about you, or raise a concern about its use. EvalTrack may need to verify a request before responding and may retain information where required or permitted.

To raise a privacy question or request, email EvalTrack.

Changes to this draft

This policy may be revised as the website, contact method, hosting arrangement, or EvalTrack service develops. A production policy should show its effective date and any material updates after legal review.
